The problem

Why custom systems fail to deliver

Custom software projects usually fail because of process rather than technology: absent governance, undefined scope and misaligned expectations set up cost overruns before any code is written. These are the five gaps we design out.

A system that works in demo is not the same as one that scales.

  1. 01

    Scope ambiguity at project start

Projects initiated without formal specifications, agreed user flows, or documented acceptance criteria routinely deliver systems that do not match business requirements.

  2. 02

    Weak architectural foundations

Internal tools and platforms built by generalist developers or on unsuitable frameworks create technical debt that prevents scaling beyond initial workload.

  3. 03

    No structured change control

Custom development without a formal change request process results in endless iteration, missed deadlines, and invoices that bear no relation to original estimates.

  4. 04

    Security and compliance gaps

Applications built without security architecture, access controls, or audit trails create regulatory exposure and operational vulnerability that compounds over time.

  5. 05

    No ownership or documentation handover

Systems delivered without source code ownership, technical documentation, or internal admin capability create permanent vendor dependency.

Delivery framework

Four-phase application delivery

Every web application moves through four milestone-gated phases: discovery, UX architecture, sprint-based development, and testing and deployment. Scope is locked before development begins, and no phase starts without written client approval.

  1. Phase 01

    Strategic Discovery

    Requirements, architecture & technical specification

Formal requirements gathering with documented user flows, system boundaries, integration points, and acceptance criteria. Architecture review board sign-off before any development commences.

    Timing
    Weeks 1–3
    Output
    Technical specification document
  2. Phase 02

    UX Architecture

Information architecture, wireframes & design system

Structured UX design beginning with information architecture and low-fidelity wireframes. Design system definition, component library, and high-fidelity screens signed off before development.

    Timing
    Weeks 3–6
    Output
    Approved design system & wireframes
  3. Phase 03

    Structured Development

    Sprint-based build with milestone approvals

Development executed in defined 2-week sprints with client review at each milestone. No scope additions without formal change requests. Weekly progress reporting with documented completion status.

    Timing
    Weeks 6–20
    Output
    Staged application environment
  4. Phase 04

    Testing & Deployment

QA, security audit, UAT & production release

Structured QA across all defined acceptance criteria. Security audit and penetration testing. UAT sign-off required before production deployment. Full technical documentation and source code handover.

    Timing
    Weeks 20–24
    Output
    Production deployment & handover pack

Written client approval required before each phase commences.

Phase weeks are indicative for a typical project. Committed package timelines: Structured Internal System 12–24 weeks, Enterprise / SaaS Platform 16–32 weeks.

What's included

Every package includes

Both web application packages include the same eight deliverables as standard, from technical specification to source code handover.

01

Technical Specification

Full system requirements, user flow documentation, entity relationship diagrams, and API contracts produced before development begins.

02

UX Design System

Custom component library, responsive design across all target devices, and approved high-fidelity screens for all user-facing interfaces.

03

Backend Architecture

Scalable server infrastructure, RESTful or GraphQL API design, database schema, and third-party integration layer.

04

Security Architecture

Role-based access control, encrypted data storage, secure session management, audit logging, and OWASP compliance review.

05

Integration Layer

ERP, CRM, payment gateway, or third-party API integrations within the agreed integration scope.

06

QA & Testing

Automated and manual testing across all defined user flows, cross-browser compatibility, and load testing for defined concurrent user targets.

07

Source Code & IP Handover

Full source code ownership transferred to client upon final payment. No vendor lock-in. Complete repository access and deployment documentation.

08

Admin Training & Documentation

Role-based administrator training, technical handover documentation, and user manuals for all defined system roles.

Engagement governance

How we govern your build

Custom development is prone to scope expansion, timeline drift and cost disputes. Each engagement runs under six written controls that prevent them.

01

Defined Feature Scope

All application features are documented, agreed, and signed off before development begins. No feature is built without written specification and client approval.

02

Formal Change Request Process

Any addition or modification outside agreed scope is formally documented with cost and timeline impact before execution.

03

No Open-Ended Iteration

Development cycles are time-boxed within defined sprints. Revision cycles per phase are defined in the engagement agreement.

04

Secure Architecture Standards

All applications are built to OWASP standards with defined security controls. Security is designed in, not patched on.

05

IP and Source Code Protection

Client retains full IP ownership of all custom-developed code. Namtech retains no licence over deliverables after final payment.

06

Milestone Payment Structure

70% at project commencement, 30% upon production deployment and UAT sign-off. No payment milestones tied to subjective criteria.
